Booking and Payment
2.1 Booking Process
Clients initiate the booking process by contacting Utopia Travel via our website, phone, or email. Our
travel advisors will provide a detailed travel proposal based on the client's preferences and
requirements. Clients must review the proposal carefully, including terms, itineraries, and costs. Any
changes or special requests must be communicated to Utopia Travel before the final acceptance of the
proposal. Proposals are not a guarantee of price or service availability until a deposit is received. By
making a deposit, clients formally accept the proposal and agree to the outlined terms and conditions.
2.2 Payment Terms
Full payment or a deposit is required at the time of booking to secure reservations. The remaining
balance is due as per the invoice schedule provided in the proposal. Failure to make timely payments
may result in the cancellation of the booking and the loss of the deposit.
Cancelations and Changes
3.1 Cancellations by Client
Cancellations must be made in writing and are subject to the policies of the individual service suppliers,
such as airlines, hotels, and cruise lines. Utopia Travel may also impose additional cancellation fees.
3.2 Cancellations by Utopia Travel
In the rare event that Utopia Travel must cancel a booking, we will refund all payments received. We are
not liable for any additional costs or damages incurred.
Travel Documents and Insurance
4.1 Passports and Visas
Clients are responsible for ensuring they have valid passports and necessary visas. Utopia Travel provides
guidance but not guarantees.
4.2 Travel Documentation Risks
Clients must verify that their travel documents (passports, visas, Real ID) are valid for at least six months
beyond the intended return date. Failure to have proper travel documents may result in denied
boarding, entry refusals, or other government-imposed restrictions. Any fines, penalties, or additional
costs incurred due to improper documentation are the sole responsibility of the client. Utopia Travel is
not responsible for any issues arising from incomplete or incorrect travel documentation.
4.3 Travel Insurance
We highly recommend purchasing travel insurance. Utopia Travel offers policies covering trip
cancellation, medical emergencies, lost luggage, and more.
Liability
5.1 Limitation of Liability
Utopia Travel acts as an intermediary between clients and travel service providers. We are not
responsible for any service failures by third parties.
5.2 Force Majeure
Utopia Travel is not liable for delays, changes, or cancellations due to circumstances beyond our control,
including but not limited to natural disasters, political instability, or pandemics.
Risks of Travel
Travel involves inherent risks, including but not limited to illness, injury, crime, political instability, and
natural disasters. Clients acknowledge that they are voluntarily participating in these activities with full
knowledge of the potential dangers and agree to assume all risks. Utopia Travel does not guarantee
safety or security during travel and is not responsible for any incidents that occur.
Supplier Cancellations and Itinerary Changes
Suppliers (including but not limited to airlines, hotels, cruise lines) may cancel or deviate from the
planned itinerary for various reasons such as weather conditions, mechanical issues, or operational
decisions. Utopia Travel is not responsible for any changes made by suppliers, but we will assist in
making alternative arrangements where possible. Any additional costs incurred due to such changes are
the responsibility of the client. Refunds or compensation for itinerary changes or cancellations are
subject to the policies of the respective suppliers.
